Ok, but what is actually needed from this project?

It is a simple question, yet oftentimes it goes unanswered. This topic gets to the specifics of the project and the tangible outputs that are to be expected upon completion of the project. By defining the specifics of what we need, we are able to accurately scope the level of effort needed to get there.

Agreeing on KPIs

Agreement by all on the KPIs is paramount to the success of a project. As we mentioned in a previous post, it is important that your project is in sync with the company's goals. A good way to do this is aligning your project outcome with the company's KPIs.

Defining metrics is a critical step in the process. You need to ensure that everyone involved has a clear understanding of which metrics will be used to measure success. For example, if the project aims to improve customer satisfaction, relevant KPIs could include Net Promoter Score (NPS), customer retention rates, or average response time to customer inquiries.

Expected Outcome

Understanding the expected outcome can be beneficial in determining what is actually needed. If the outcome is to identify new revenue opportunities, how will our project assist that effort? Unfortunately, it is a common occurrence to have outcomes that are not directly tied back to the company's objectives.

By clearly defining what is needed from the project, agreeing on KPIs, understanding the expected outcomes, gathering detailed requirements, and identifying potential challenges, you can set your project up for success. This structured approach helps in delivering a solution that is aligned with the business goals and meets the expectations of all stakeholders.
